Understanding the cancellation conditions
It is the part of a listing people read last, and sometimes not at all. Yet cancellation conditions are essential. They explain what happens if you end up unable to go, if the organiser changes or cancels the stay, or if an activity cannot take place. Reading them before you commit helps you avoid misunderstandings and set off with peace of mind. This guide helps you make sense of them.
Important: each organiser sets their own conditions. This guide offers general pointers; only the conditions stated on the stay's listing, or provided by the organiser, are binding.
Where to find the cancellation conditions?
They usually appear on the retreat listing, in a dedicated section, or in the organiser's terms and conditions. If you can't find them, or if they seem unclear, ask for them in writing before you decide.
What to look out for
Deadlines
Most conditions are organised around deadlines: what applies if you cancel well in advance, and what applies if you cancel shortly before departure. Note these dates precisely in your diary.
Deposit and balance
Some stays ask for a deposit, then the balance a few weeks before departure. Check what happens to each in the event of cancellation: is the deposit refundable, fully or partly? And the balance?
Possible fees
Administration or cancellation fees may apply. They should be stated clearly.
Postponement or credit
Instead of a refund, some organisers offer to move your participation to another date or give you a credit. Check the conditions of this postponement: validity period, possible dates, any price difference.
Transferring your place
Sometimes you can transfer your place to someone else. If so, find out how it works.
If the organiser cancels or changes the stay
This point is often overlooked. A retreat may be cancelled by the organiser, for example if the minimum number of participants is not reached or if something unexpected happens. Check what the conditions provide for in that case: refund, postponement, notice period. Also check what is planned in the event of a significant change to the programme, venue or dates.
Weather-dependent activities
For active retreats, such as surfing, kayaking, trekking or climbing, some activities may be changed or replaced if conditions don't allow them. That's normal: safety comes first. Read what is stated on this subject and, if nothing is specified, ask the organiser.
What about insurance?
Some people choose to take out cancellation insurance themselves, for example through their bank card or an insurer. If you are interested, ask your bank or an insurer directly what is covered and under what conditions. Read carefully what is and isn't covered.
Questions to ask before you decide
If something isn't clear, here are a few useful questions to ask the organiser:
- Until what date can I cancel, and on what terms?
- Is the deposit refundable?
- Can I move my participation to another date?
- What happens if you cancel the stay?
- What happens if an activity cannot take place?
- Can I transfer my place to someone else?
Keep a written record of the answers.
A few good habits
Read before, not after
The best time to understand the conditions is before you commit. Once you have signed up, it is too late to negotiate them.
Compare like with like
Two retreats at a similar price can have very different conditions. This is one of the criteria for choosing, just like the programme or the venue.
Note the key dates
Add the stated deadlines to your diary. If your situation becomes uncertain, you will quickly know where you stand.
Get in touch early
If you think you won't be able to go, let the organiser know as soon as possible. This often makes solutions, such as a postponement, easier.
In short
Understanding cancellation conditions means identifying the deadlines, what happens to the deposit and balance, the options for postponement, what happens if the organiser cancels and how the weather is taken into account. Read them before you decide, ask your questions in writing and note the key dates. On each listing, click "View activity" to discover the details of the stay and its conditions.
